Sales and marketing records are the evidence of how a business attracts customers, communicates offers, completes sales and measures results. They should connect a campaign or enquiry to the relevant offer, order, invoice and customer communication. Good records support decision-making and explain what actually happened.

What counts as a marketing record or sales record?#
| Record group | Examples | Why retain it? |
|---|---|---|
| Campaign | Brief, audience, channel, budget and performance data | Understand which activity generated results |
| Claims and approvals | Evidence for statements, final creative and approval history | Explain the basis for published advertising |
| Customer communications | Enquiries, quotations, agreed terms and relevant messages | Establish the offer and customer instructions |
| Sales transactions | Orders, delivery evidence, invoices, refunds and credit notes | Reconcile fulfilment and financial records |
| Permissions and preferences | Relevant notices, subscriptions and opt-out actions | Operate communications consistently with recorded choices |
| Complaints | Issue, owner, response and resolution | Identify recurring problems and evidence the response |
A marketing system of record is the authoritative source for specified campaign or customer information. Define which system owns each field; having a CRM, analytics tool and spreadsheet does not by itself establish consistency.
How to build a reliable record keeping workflow#
Assign a campaign identifier and link the final approved creative to it. Keep the claim evidence available to the reviewer before publication. Track changes to pricing, eligibility and offer dates so a later complaint can be assessed against the version the customer saw.
For sales, preserve the accepted quotation or order terms and link them to delivery and invoicing. Reconcile cancellations, refunds and credits rather than deleting a failed sale from the record. Separate actual revenue from leads, bookings and forecasts in management reports.
Advertising and privacy obligations#
Advertising claims should be accurate and supported by evidence. ASCI’s code establishes a self-regulatory framework, while CCPA’s misleading-advertising guidelines operate under consumer-protection law. See the advertising standards checklist and official CCPA announcement.
Customer records can contain personal data. Limit access and exports, record the purpose, and implement relevant preference and deletion controls. India’s DPDP framework has a phased implementation timetable; review the DPDP compliance guide rather than assuming all duties commenced together.
Retention and access controls#
Set retention periods by record class. Accounting evidence, contractual records, campaign analytics and an unused prospect list have different purposes. Check applicable law and claims needs, document the reason for retention and pause deletion where a legal hold applies.
Avoid indefinite retention of every CRM export. Restrict downloads, remove unnecessary duplicate datasets and review vendor access. Preserve audit history when staff amend material information.

Frequently asked questions#
How do good records assist effective marketing?
They connect spend, activity and outcomes so a business can compare campaigns, identify customer needs and explain performance using consistent measures.
Is a sales record the same as a sales forecast?
No. A forecast estimates future outcomes. Transaction records evidence actual orders, fulfilment, invoices and adjustments. Clearly label both in reporting.
Should every marketing record be kept forever?
No. Set retention by purpose and applicable requirements. Preserve relevant legal evidence while reviewing and removing data that is no longer justified.
